Who we are
This website is run by Liberty Financial Ltd, trading as Liberty Financial. We are a company registered in England and Wales (company number 11156706), and our registered office is Unit 20 The Circle, Queen Elizabeth Street, London, SE1 2JE.
We are the “data controller” for the personal information described in this policy. That means we decide how and why it is used, and we are responsible for looking after it under the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.
If you have any questions about this policy or your information, email info@liberty-financial.co.uk, call 020 3092 5744, or write to us at Unit 20 The Circle, Queen Elizabeth Street, London, SE1 2JE.
The information we collect
When you contact us
If you use one of our enquiry forms, email us, call us or message us on WhatsApp, we receive whatever you choose to send. Through our enquiry forms, that is:
- your name
- your email address
- your phone number
- your company name
- the level of bookkeeping support you think you need
- any message you write to us
Our homepage contact form does not store anything on this website. Pressing “Send message” opens your own email app with your message written out, and nothing reaches us until you send that email.
The enquiry form on our Outsourced Bookkeeping page sends your details straight to our inbox by email, using our email delivery provider, Resend. We do not keep a separate copy on the website.
When you become a client
To provide accountancy, tax, bookkeeping and payroll services, we collect and hold information such as:
- your name, contact details, date of birth and National Insurance number
- proof of identity and address, which the law requires us to check before we can act for you
- your Unique Taxpayer Reference and other HMRC and Companies House details
- financial records, such as bank statements, invoices, income, expenses and pension details
- details of your employees, if we run your payroll
We explain this in more detail in the engagement letter you receive when you become a client.
When you visit this website
When you visit the site, some information is collected automatically. This includes your IP address, your device and browser, the pages you visit, and how you arrived at the site (for example, from a Google search or one of our Google ads).
Our hosting provider records basic technical information to keep the website running securely. The rest is collected using cookies and similar technologies, and only if you agree to them. See Advertising and analytics below and our cookie policy.
How we use your information
We use your information to:
- respond to your enquiry and provide our services
- understand how visitors use our website, so we can improve it
- measure how well our online advertising works, including whether an enquiry came from one of our Google ads
- meet our legal and professional obligations
Advertising and analytics
- Google Analytics: we use Google Analytics to understand how visitors use the website, such as which pages are visited and how people find us.
- Google Ads conversion tracking: we advertise using Google Ads. Conversion tracking tells us when someone who clicked one of our ads goes on to send an enquiry or call us.
- Google Tag Manager: we use Google Tag Manager to manage these Google tools on our website.
- Enhanced conversions: when you send an enquiry form, information you provide, such as your email address or phone number, is turned into a secure code using a one-way process called hashing before it is shared with Google. Google uses this only to help us measure how our advertising performs. We do not use it to identify you, and your original details are not sent to Google in readable form.
These tools only run if you consent. You can give or withdraw your consent at any time using our cookie banner or the “Cookie settings” button at the bottom of every page.
You can read how Google uses information from sites that use its services at policies.google.com/technologies/partner-sites. You can manage ad personalisation in Google's Ad Settings at adssettings.google.com.
Why we use it, and our legal basis
The law requires us to have a valid reason (a “lawful basis”) for using your information:
- To reply to your enquiry and give you a quote: taking steps at your request before entering into a contract, and our legitimate interests in responding to business enquiries.
- To provide our services to you: performing our contract with you.
- To check your identity and meet our professional duties: legal obligation, including the Money Laundering, Terrorist Financing and Transfer of Funds Regulations 2017, tax law and the rules of our professional body.
- To keep the website secure and working: our legitimate interest in running a safe website.
- Analytics and advertising cookies, and enhanced conversions: your consent, which you can withdraw at any time.
- To show the Google map and Google reviews badge: your consent, which you can withdraw at any time.
We never sell your information, and we do not send marketing emails unless you have asked us to.
Who we share it with
We only share your information when we need to, and only with:
- HMRC, Companies House and other government bodies, when acting for you or when the law requires it
- trusted software providers we use to run the practice, such as our cloud accounting, payroll, email and document storage systems
- Google (Google Ireland Limited and Google LLC), which provides our analytics and advertising services, only if you consent
- our website host (Vercel) and our email delivery provider (Resend), which runs our enquiry form
- our professional body, insurers and professional advisers, where needed
- law enforcement or regulators, if we are legally required to
Everyone we share information with must keep it secure and use it only for the purpose we gave it to them for.
Information sent outside the UK
Some of our providers, including our website host (Vercel), our email delivery provider (Resend), Google and WhatsApp (Meta), may store or process information outside the UK, including in the United States. When that happens, appropriate safeguards are in place, such as the UK Extension to the EU-US Data Privacy Framework, UK adequacy regulations, standard contractual clauses or the UK International Data Transfer Agreement.
How long we keep it
- Enquiries: only as long as we need to respond to you, and no longer than 2 years from our last contact if the enquiry doesn't lead to work. If you become a client, we keep it in line with our professional record-keeping obligations below.
- Client records: at least 6 years after the end of the tax year or accounting period they relate to, as required by tax law.
- Identity checks: 5 years after our business relationship ends, as anti-money laundering rules require.
- Website analytics data: 14 months, in line with our Google Analytics retention settings.
After that, we securely delete or destroy it.
Keeping it safe
We use secure, access-controlled systems, and only people who need your information for their work can see it. Everyone on our team is bound by professional confidentiality.
Your rights
Under UK data protection law, you have the right to:
- ask for a copy of the information we hold about you
- ask us to correct anything that is wrong or incomplete
- ask us to delete your information
- ask us to restrict how we use it
- object to us using it
- ask us to send your information to you or another organisation in a common format (data portability)
- withdraw your consent at any time, where we rely on consent
- complain to the Information Commissioner's Office (ico.org.uk), as explained below
Some of these rights don't apply in every situation. For example, we can't delete records the law requires us to keep. To use any of your rights, email info@liberty-financial.co.uk. It is free, and we will reply within one month.
Making a complaint
If you are unhappy with how we have handled your information, please tell us first so we can put it right. You also have the right to complain to the Information Commissioner's Office (ICO), the UK's data protection regulator, at ico.org.uk/make-a-complaint or on 0303 123 1113.
